Project Management: Excel Gantt Chart Template

In the past days I received some requests from my readers to deploy a simple Excel template to manage a project with a Gantt chart (in the right side of the sheet).

So I prepared this spreadsheet you can download and use in your job. The sheet contains only the following fields: WBS, Task Owner, Status, Start Date, Finish Date, Percentage of completion.



Download Excel Template

WBS structure is organized in two levels: activities and tasks. Each activity contains one or more task.
Each task has an owner and a status (I suggested:in progress, delay, completed, suspended, but you can change it like you prefer) and a percentage of completion.

Add a new task
To add a new task, copy a row with a task and paste it where you want. Remeber to update WBS number for the new task.

Add a new Activity
To add a new activity, copy a row with an activity and paste it where you want.

Hi,

It's a couple of weeks ago that I found your blog, and I think is great now is a 'must' follow one for me.

I have downloaded the excel gantt chart template file but I am getting an error on "Networkdays" formula. I'm using ms-excel 2003. Any idea?

In relation to your problem you will need to go into: tools, Add-ins and select analysis toolpak VBA hope this helps

Definitely want to add grouping to the subtasks.

For instance, highlight rows 9 through 11, then go to the Data menu, Group and Outline submenu, 'Group'

Now you can expand/contract the subtasks with one button -

Fabulous template. Thank you so much. Even works with Excel for Mac (apart from the VBA tools pack). One question though. How do I change the colours of the bars in the Gantt chart?

1– I'm a Mac user
2– I don't have MS Office, just iWork'08 Numbers.

Is there a way to port it to Apple's Numbers application?

I also need to know how to increase the number of columns. My spreadsheet stops abruptly at the end of April 2009, even though I have tasks going out through October.

Please ignore the last question. I figured out why the columns were not showing up. I realized they are dependent on the dates being set in every cell in row 3. Now I'm trying to figure out why the conditional formatting is not showing up on my last three rows.

Thanks so much for this tool. I realized however, that it won't work for projects spanning more than 247 days, since Excel only allows for 256 columns. Has anyone found a way to include an entire year on this template?

I created it for my students and clients and it has taken on a life of its own.

To expand and compress to zoom out more than a year or zoom in to a short time period, change the third setup parameter on the User Setup tab.

Please read the Instructions tab if you have problems.

The Gantt and precedence table are on the Schedule tab.

Any chance of a bar that moves with the current date. Otherwise I'll have to remember to progress it through.

For those who need a long project. just change the range in the date area to increment higher than 1 day....helped me

Answer to changing bar colors. Click on cell with colored bar. Select Format, Conditional Formatting. Change Color. If the color you want does not appear in the color chart, add a new color to the Excel color chart. Tools > Options > Color tab : Click on the color square you want to replace. Click Modify button > Custom Tab and add the RGB color codes. Then they will be available in conditional formatting
